Video Platform Contract Renewal Checklist: 15 Questions Before You Sign Again

Most video platform renewals follow the same pattern. A quote arrives a few months before the end date, often higher than last year, with a notice deadline that leaves little time to look at alternatives. Because switching feels like a one to two year project, many institutions renew by default.

This checklist is for media services, IT, procurement and academic technology teams who want to make that decision deliberately. Start it at least six months before the renewal date.

Usage and value

  1. How much of the library is actually watched? Compare hours stored with hours viewed in the last year. Storage you pay for but nobody watches is a negotiating point.
  2. Which features are used, and by how many courses? Quizzes, captions, analytics and assignments are often licensed campus wide and used by a handful of departments.
  3. What do we pay for separately? List every tool that adds interaction or assessment on top of the host, with its cost.
  4. What did faculty and students report? Help desk tickets and survey comments are evidence of value, or of its absence.

Price and terms

  1. Why has the price changed? Ask for the reason in writing: usage growth, a new pricing model, or a list price increase.
  2. What is the price at next year's library size? Storage based pricing grows every term as recordings accumulate.
  3. Is a multi year term worth it? Longer terms can lower the price but extend lock in. Ask for a price cap on renewals.
  4. What is the notice period? Put the date in the calendar. It is the real deadline for any alternative.

Data and exit

  1. What can we export, and in what format? Video files, captions, quiz responses, comments, grades and viewing data.
  2. How long do we keep access after the contract ends? A transition period lets courses keep working while content moves.
  3. Who owns the interaction data? Quizzes and discussions built by your faculty should be yours.
  4. What would a migration involve on our side? Embeds, LMS integration, retraining. See how to switch without breaking courses.

Alternatives

  1. Can we separate hosting from the learning layer? If interactions and analytics live above the host, the host becomes a replaceable part of the stack. That is the idea behind a Multi Video Platform.
  2. Can we run more than one host? Lecture capture on one service and public video on another is common, and can cost less than one platform for everything.
  3. Has the vendor offered a pilot or a switching credit? Many vendors will credit time left on a competitor contract or start with a department license. Ask.

Renew, renegotiate or switch

If you findConsider
High usage, fair price, good export termsRenew, ideally with a price cap
Low usage or a big price increaseRenegotiate with an alternative quote in hand
Paying for several add on toolsConsolidate into one platform
Weak export or exit termsDecouple interactions and analytics now, before the next renewal

How Annoto helps at renewal

Annoto can wrap your current host so courses, interactions and analytics depend on Annoto rather than the vendor, which changes the renewal conversation even if you stay. If you decide to move, the Annoto team runs the transfer to a new host or to Annoto hosting while course links and LMS integrations stay the same. Annoto offers a switching credit for time left on a competitor contract, department or program licenses as a starting point, and a free pilot with no contract.
